Part of motivated and driven team in a fast paced international environment.
The Administrative Assistant contributes to the efficient day-to-day operations of the office, and supports the work of management in a variety of levels of complexity.
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks. This person must be exceedingly well organized, flexible and enjoy the administrative challenges. The ability to interact with staff at all levels, sometimes under pressure, whilst remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. Expert level written and verbal communication skills (German and English), strong decision making ability and attention to detail are equally important.
Duties:
Reception
• Provide full time reception coverage for the Zug office;
• Answer/redirect general phone inquiries in a professional and courteous manner;
• Reply professionally to internal and external information requests;
• Meet and greet visitors in a professional and friendly manner.
Office management
• Design and implement office policies, establish standards and procedures;
• Office set up including: furniture and IT systems, telephone installation; negotiation with contractors, suppliers and service providers where applicable; office decoration; taxi; carrier.
• Order office supplies and monitor inventory;
• Order office equipment and monitor its operation;
• Manage incoming and outgoing correspondence, establish and maintain the general filing system and file all correspondence related to office operations.
• Maintaining an office environment conducive to effective and professional business operations.
Management support
• Be the first point of contact for the executive staff, ensuring all activities are dealt with promptly and in proper priority;
• Effectively manage executive’s schedule, appointments;
• Manage travel arrangements for the Zug office;
• Arrange and coordinate meetings and events;
• Prepare reports, memos, letters, financial statements, presentations and other required documents;
• Co-ordinate project-based work.

Skills/Qualifications/Knowledge:
• Preferably 2-3 years of experience in a similar position within said business environment;
• Further education, for example university degree;
• Expert level written and oral English and German language skills, knowledge of Ukrainian or Russian will be a big advantage;
• Knowledge and understanding of local rules, requirements and legislations concerning office administration;
• Good command of Microsoft Office (Word, Excel, Power Point, Outlook);
• Excellent communication and organizational skills;
• Attention to detail and high level of accuracy;
• Experience within large corporation will be an advantage;
• Previous experience within trading company will be an advantage;
• Working permit or residency in Switzerland is required.
